Privacy Policy
This working policy describes how AIGIS handles information across the public website, AIGIS Field, AIGIS OPS, AIGIS Command, and related services.

1. Scope and Roles
This Privacy Policy applies when you visit the AIGIS website, request access or support, use an AIGIS application, or interact with an AIGIS integration.
A customer organization usually decides who may use AIGIS, what operational information is entered, which integrations are enabled, and how authorized users may access that information. In those cases, AIGIS processes information on the organization's behalf under its agreement with AIGIS.
2. Information We Collect
Depending on the features in use, AIGIS may process:
- Account and identity information, including name, email address, phone number, organization, user and device identifiers, authentication records, roles, and permissions.
- Responder and organization information, including affiliation, callsign, team, response role, availability, qualifications, training records, assignments, shifts, and recorded service history.
- Incident and operational information, including incidents, missions, units, dispatch records, statuses, destinations, CAD records, issues, reports, and activity history.
- Precise location and movement information associated with an authorized user, device, or operational unit.
- Communications and user content, including channel and direct messages, replies, acknowledgements, polls, photos, videos, files, dictated text, and other submitted content.
- Radio information, including channel membership, push-to-talk activity, radio session details, and stored, replayable audio.
- Device and diagnostic information, including device and push identifiers, IP address, browser and app version, network information, battery, memory, storage, crash data, performance data, activity logs, and navigation or product-interaction events.
- Support, access, and business information that you provide when requesting help, a walkthrough, account access, or another service.
3. How Information Is Collected
We collect information:
- Directly from users and customer administrators.
- Automatically from authorized devices and applications when a feature is active.
- From customer-selected systems such as CAD feeds, identity providers, radio gateways, and other operational integrations.
- From service providers that support authentication, hosting, mapping, notifications, communications, diagnostics, and support.
4. How We Use Information
- Provide mapping, unit tracking, missions, dispatch, messaging, radio, accountability, readiness, and service-record features.
- Authenticate users, apply organization and role permissions, and protect customer workspaces.
- Deliver alerts, invitations, staffing requests, account messages, and support communications.
- Maintain, troubleshoot, secure, and improve AIGIS applications and integrations.
- Investigate misuse, preserve audit history, enforce agreements, and comply with legal obligations.
- Process payments, contracts, and customer relationships where applicable.
5. Location and Device Permissions
AIGIS Field may collect precise location while the app is in use and in the background, including when the app is closed, when authorized by the user and organization. This supports unit visibility, navigation, dispatch coordination, arrival verification, and related operational workflows.
Camera, microphone, photo-library, speech-recognition, NFC, notification, and motion permissions are requested only for features that use them. Device settings can limit these permissions, but some AIGIS features may not function without the required access.
6. Radio Audio and Operational Communications
Push-to-talk features process microphone audio and may create stored, replayable radio clips. AIGIS also records related channel, sender, recipient, device, and timing information needed to deliver and audit communications.
Customer organizations are responsible for configuring radio access, informing authorized users, and obtaining any notice or consent required for recording or monitoring communications.
7. AI-Assisted Features
When AI-assisted features are enabled or used, AIGIS may send a bounded portion of eligible plaintext operational content and context to an AI service provider. This processing may produce a draft, summary, briefing, classification, research result, alert, or other requested output. Message AI is blocked for threads marked encrypted. AI output may be incomplete or inaccurate and must be reviewed by an authorized person before operational use.
8. Notifications and SMS
AIGIS may send account notices, operational alerts, dispatch updates, staffing requests, and other messages selected by a user or customer organization. SMS message frequency varies. Message and data rates may apply, and SMS consent is not a condition of purchase.
Where supported, reply STOP to opt out and HELP for assistance. AIGIS does not sell SMS opt-in information or share SMS consent with third parties for their own marketing.
9. How We Share Information
We may share information with:
- The customer organization and users it authorizes to manage or participate in operations.
- Service providers supporting hosting, authentication, mapping, notifications, messaging, radio and media delivery, diagnostics, payments, support, and AI-assisted features when enabled.
- Customer-selected integrations, including CAD, identity, mapping, weather, radio, and other operational systems.
- Professional advisors, authorities, or other parties when required by law or reasonably necessary to protect people, rights, systems, or the service.
- A successor in connection with a merger, financing, acquisition, reorganization, or sale of all or part of the business, subject to appropriate protections.
10. Retention and Deletion
AIGIS retains information for the time needed to provide the service, follow customer instructions, preserve operational and audit records, protect the service, resolve disputes, and meet legal or contractual obligations. Retention varies by information type, customer configuration, incident recordkeeping needs, and applicable law.
Authorized users may request account and personal-data deletion through the AIGIS data deletion page. We may verify identity and coordinate with the customer organization before acting. Some operational, security, legal, audit, or backup records may be retained where required or permitted.
11. Privacy Rights and Choices
Depending on where you live, you may have rights to access, correct, delete, or obtain a copy of personal information, or to appeal a privacy decision. You may submit a request through your organization administrator, the data deletion page, or the contact information below. AIGIS may need to verify your identity and authority before completing a request.
12. Security
AIGIS uses administrative, technical, and physical safeguards designed to protect information. Access is limited by organization and role where supported. No transmission, storage system, or security control can guarantee absolute security.
13. International Processing
Information may be processed in the United States and in other locations where AIGIS or its service providers operate. Where required, AIGIS uses contractual or other safeguards for international transfers.
14. Children
The public website and AIGIS services are intended for authorized organizational and professional use. They are not directed to children under 13. Customer organizations are responsible for confirming that their users meet applicable age and authorization requirements.
15. Changes to This Policy
We may update this policy as AIGIS features, data practices, or legal requirements change. The date at the top of this page identifies the latest revision. Material changes may also be communicated through the service or customer channels.
